The registration of participants is binding. However, please consider the cancellation policy and refunds as well as the disclaimer below. Please note that the conference program may be subject to changes.

Conference Fees

All the fees given on the conference website are final and binding. Reduced rates are available for Members of Scientific Committee of 17th IB2MaC and students. Your student’s ID number and official confirmation from a mother university will be requested when registering and paying for the conference at the reduced rate.

All fees are quoted inclusive of the required sales tax, where required.

Conference fees include: participation online in the conference programme, all conference materials (conference bags, a copy of the proceedings, a book of abstracts etc.), virtual the Wawel Castle tour, virtual conference technical tour and the virtual concert. Accommodation is not organised through the conference. Reduction of the already paid fees according to the on-line form will be provided and announced soon.

Reimbursement of the already paid accompanying fees according to the on-line form will be provided.


Registration for the conference with online participation will close on 1 July 2020.

Participation online is not guaranteed until the full payment of the registration fee is received.


Participants will receive a confirmation email from our registration system after successful conference registration.

Please print a copy of your confirmation to be shown at the conference registration desk. Participation is not guaranteed until the full payment of the registration fee is received.


If you are unable to attend, you are welcome to nominate someone else to attend in your place at no additional cost. Please advise substitutions by writing to the Conference Office. Please note:

  • Any substitution that is not communicated in writing will not be considered valid.
  • Financial matters must be handled between the registered individual who is not attending and the individual who is substituting.

Cancellation Policy and Refunds

We understand that participants who have registered for the conference may have to cancel their registrations due to unforeseen circumstances. While we try to accommodate cancellations to the best of our ability, any cancellation, especially late ones, put Organizing Committee in a difficult situation. Due to the size of the conference, we have to make many of our arrangements well in advance and therefore cancellations come at a cost to Organizing Committee. Consequently, the 17th IB2MaC organizers have developed a cancellation and refund policy that takes into account the needs and preferences of the conference and the participants. As such, please note that cancellation requests for an already confirmed registration will be processed according to the following schedule.

Cancellations need to be made in writing to the Conference Office with the cancellation form attached. Emails without the completed form will not be considered.

If regular participant (not author) decides not to attend the conference the participation fee will be refunded as given below:

  • Full refund minus 80 EUR of an administrative fee will be withheld : before 29 March 2020
  • 50% refund : before 10 May 2020
  • No refund : after 10 May 2020
Authors may cancel up to 29 March 2020 and the participation fee will be refunded in 100% (only administrative fee of 80 EUR will be withheld. After this date, the fee for authors is not refundable because the fee covers the publication costs.

The participation fees are owed upon registration and are payable within 7 days following submission of the registration (but not later than 7 days before the starting day of the event).

We are not responsible for the potential differences in the exchange rate. If payment has already been made, credit card disputes cannot be used to obtain a refund. In order to receive a refund, you have to follow the procedure described above.

In the event that the conference is cancelled by the 17th IB2MaC Organizing Committee, or for any reason or any factor out of the control of the Organizing Committee, such as force majeure, natural disasters, weather conditions, acts of terrorism, or any other cause beyond the control of the Organizing Committee, which results in 17th IB2MaC not taking place; the Organizing Committee will try to make all possible efforts to reschedule the conference. In such cases, it is entirely the decision of the Organizing Committee to decide on the refunds of the registration fee. The liability of the organizers shall be limited to the refund and they shall not be liable for any other loss, cost or expense, however caused, incurred or arising. In particular, 17th IB2MaC organizers shall not be liable to refund any travel or hotel costs incurred by participants or their organizations.

Participants and accompanying persons are advised to take out comprehensive insurance, including travel insurance.


The 17th IB2MaC Organizing Committee will not accept any liability for death, injury, any loss, cost or expense suffered for any person (including accompanying persons or partners or attendant caregivers) in or outside of the conference venue. In particular, the organizers will not accept any liability for losses arising from the provision or non-provision of services provided by hotel companies or transport operators. Nor can the organizers accept liability for losses suffered by reasons of war, including threat of war, riots and civil strife, terrorist activity, natural disasters, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by participants and/or accompanying persons in connection with the conference, nor losses suffered for reasons of industrial disputes, governmental action, registrations or technical problems, which may affect the services provided in connection with the conference.

The 17th IB2MaC Organizing Committee reserves the right to use any photograph/video taken at any event, without the expressed written permission of those included within the photograph/video. The 17th IB2MaC Organizing Committee may use the photograph/video in publications or other media material produced, used or contracted by the 17th IB2MaC Organizing Committee including but not limited to brochures, invitations, books, newspapers, magazines, television, and websites.

Dear Participants of the 17th IB2MaC conference,

Due to the situation related to the spread of COVID-19 in the world, we would like to inform you that the Conference has not been cancelled and it is not planned to postpone it to another date, because no one knows when COVID-19 will expire.

We decided to organize an online conference as close as possible to regular ones and publish articles by the Balkema publisher . Participants want to publish their work already done in this difficult time (only a few articles have been withdrawn), so we will not lose their hard work (especially of young scientists). The future is now still unknown. We are afraid that some universities may have problems with funding for conferences next year.

After calculating of the conference budget, the Organizing Committee decided about partial reimbursement for online participation. All participants who overpaid the reduced fee will receive individual reimbursement forms with calculated refund.

Participation in the conference online without paper publication is also possible, after paying the online participation fee of 220 EUR.

A number of participants declared only paper publication in Balkema, thus we have only a few reserved spaces in online conference sessions for additional presentations. For those participants who want to participate online in the conference and present their work without publication, the online presentation fee is 300 EUR.

Qualification for presentation without publication will be done basing on the sent one page abstract. Please express your interest by sending information to the Organizing Committee (
The amount of reserved space in conference sessions for additional presentations is limited.

Last week we finished the editing process and sent submitted articles to Balkema. Finally, we sent 133 articles: 4 keynote, 7 semi-keynote and 122 regular. Now we are waiting for the ready e-book. A list of the conference articles with authors and titles can be found on the conference website. Access by means of a token to full texts should be available to participants before the conference.

We have started the next organizational stage of the conference. The first draft of the online conference program is presented on the conference website. We organize two parallel sessions blocks over 3 days with two special sessions and invited keynote and semi-keynote lectures. In addition, other conference activities will be available online: expert panel, Royal Castle Wawel tour, technical tour, concert, photo gallery and competitions (Best Paper Award and Best Photo Award). Accompanying events such as meetings and workshops are also planned. Detailed information will soon be available on the conference website.

We hired a professional supplier of online meetings to organize online conference sessions as close as possible to the traditional ones, based on a special platform. Presenters, chairpersons and participants will be connected via internet connections in virtual rooms, with the option of communicating with each other. An online network will also be available in special virtual rooms during coffee breaks. The presentations will be prepared and operated by Google Slides. Relevant information with instructions on how to prepare presentations in Google Slides will soon be send to the authors. Participation in the conference without presentation will also be possible, after receiving a special access code.
